AR Specialist and Billing Clerk

Schedule: Part-Time (20 hours/week)

Hourly Range: $20 - $24/ hour

Through our open architecture recordkeeping services, we provide investment advisors, managers, plan sponsors and participants access to traditional and non- traditional investments.


Department Responsibilities:

The Accounting department oversees the timely and accurate completion of month-end close, forecast updates, and annual plans, including a focus on company costs and revenue. Work scope also includes exposure to leadership through involvement in regular business reviews and project management opportunities, focused on automation and increasingly efficient work processes.


Essential Job Duties:

·       Set up new clients for invoicing purposes.

·       Maintains accurate annual, monthly, and quarterly billing of all clients. 

·       Research customer account status, billings, collections, and adjustments and make the necessary changes to the accounting system.

·       Processes incoming payments from customers via payment processing system, email customers when invoice links are needed.

·       Understands and explains company billing policies and procedures to internal team members. Works closely with the other departments to assist with timely responses to invoicing and payment activities.

·       Maintains the Customer and Vendor files within accounting system.

·       Assist with NSF transactions - recording, posting, tracking, and sending emails to clients for collection purposes.

·       Communicate with Corporate accounts to ensure timely collections. Provide invoices and monthly statements, as needed.

·       Works closely with the Accounting Manager to complete weekly and monthly reports as needed.

·       Supports Year End US 1099 Reporting.

·       Attend meetings with the accounting team and other teams as needed.

·       Additional duties as assigned.


Minimum Qualifications:

·       High School Diploma or equivalent required.

·       At least 2 years’ related experience in billing, collections, accounts receivable and accounts payable is required.

·       Superb communication skills and a commitment to superior customer service.

·       Excellent attention to detail and accuracy, proficiency with numbers and basic calculations.

·       Solutions oriented and ability to handle changing and competing responsibilities.

·       Strong command of technology including accounting software, and ability to learn new software solutions easily and quickly.

·       Proficiency is required with Excel, Word, Outlook, Adobe Acrobat

·       Possesses a preference for proactivity, avoids workplace distractions, and drives performance targets to completion.

·       Possesses a strong innate ability to switch gears between tasks as needed.


Preferred Qualifications:

·       BA in Accounting or related field preferred.

·       Knowledge of the Retirement Plan Industry is preferred but not required.


Physical Demands and Work Environment:

·       While performing the duties of this job, the employee is regularly required to talk and hear.

·       The employee is frequently required to sit; use hands to finger, handle, or feel; and reach with hands and arms.

·       The employee must occasionally lift and/or move up to 10 pounds.

·       Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.

·       The work environment is usually an indoor setting with infrequent exposure to outside elements.

·       The person in this position occasionally needs to move about inside a home office environment to access file cabinets, office machinery, etc.

·       Constantly operates a computer and other office productivity machinery such as a printer.
